Orange County Clerk-Recorder to Automate Indexing and Redaction Process of Real Property Recordings
Today, Clerk-Recorder Hugh Nguyen took the first step towards implementing software that will automatically index and redact real property documents submitted for recording to his offices. This will make real property records available to the public for review one day after being submitted and recorded.
The Orange County Board of Supervisors approved the contract during its regular meeting allowing Clerk-Recorder Nguyen to proceed with the implementation of auto-indexing and redaction software. The software will eliminate the need for County staff to manually index real property information into the department’s Grantor/Grantee Index. The software will also reduce the time it takes the department to make a document available to the public for review. Currently, it takes the department at least five business days to make a recorded document available to the public. After the implementation of this software, the public will be able to purchase or review documents the day after they are recorded.
“I am pleased that our customers will have immediate access to their records,” Clerk-Recorder Hugh Nguyen said. “I am always looking to implement technology that will make it easier and faster for the public to access our services and the information available at the Clerk-Recorder Department in an efficient and secure manner.”
The department is mandated by the Government Code to redact social security number information from real property records. In addition to speeding up the indexing of recorded documents, the software will simultaneously remove social security number information from a document prior to making it available to the public. Again, this will allow the public to view recorded documents one day after being recorded.
“I would also like to thank the Board of Supervisors for approving this item and for seeing the benefits that this project will bring to both the department and public,” Clerk-Recorder Nguyen said.
